Volunteer & AT Hours VMS Reporting

Reporting Procedures

As of April 1st 2015, all Volunteer and Advanced Training hours earned are reported through the new online Volunteer Management System (VMS) directly by the volunteer. The Volunteer / AT Event Report Form is a group participation sign in sheet for historical and census purposes, but all volunteer hours are to be entered by the volunteers themselves.  Training and assistance is always available to volunteers from the Membership Committee members.

VMS Access:

You may visit This Hours Entry Page as the TMN portal to the VMS system to log in, and details and help documentation is on this Help Desk page which is also found there.  You should use the Portal page link above to sign in to the VMS system, and NOT bookmark the VMS log in link directly as that link may change when system upgrades are done. For convenience, you should bookmark that “Portal Page” in your browser for ease of future use.  Any questions, call Don to help set this up.  Keep your profile information up to date, as that is used by TPWD to conduct annual background checks on all active members.

Travel Time

Travel time is added to the actual volunteer hours and the total is recorded in VMS for support of Approved Volunteer Projects only (not AT or Admin/mtgs etc). This is for projects inside or outside of Milam County and should be the actual time spent traveling round trip, but not to exceed the actual amount of direct Volunteer time at that location. (For example, if you traveled 3 hours round trip for a 1 hour project, you can only claim a total of 2 hours.)
 
For some projects travel is an integral part of the volunteer effort itself, such as bird count tours, wildlife animal rescue pickup and release efforts, Hill County and Bell County monarch way station work along I-35 corridor, so project time allowed would include all those travel hours from project start to finish, plus personal round trip travel time to and from the project start / end points (if needed) not to exceed the above project time.  
 
Enter all hours rounded up in quarter hour increments.
